Summary of Position

The club secretary is part of the club board who provide leadership and guidance to the the local Cornell community. In addition, the secretary takes minutes from board meetings and distributes them to the board and maintains a record of all meeting minutes to be kept on record with the club after their tenure. The secretary may be in charge of ensuring the constitution and bylaws are up-to-date and shall perform other duties of the office and as assigned by the president.

It is important that the club secretary is able to speak in board meetings and share minutes with the board. Although public speaking is not mandatory, it is helpful to have a comfort level in speaking to their constituents. The ability to share a clear message is important in both speaking and communicating via email.

The Club Secretary will handle the correspondence of the club and keeps records of it; Maintains official records of meetings; Inform officers of deadlines for reports, mailings, future commitments; Coordinate mailing of notices to area alumni when applicable; Maintains a roster of officers and other board members with current address, including email, and telephone information; Distributes this roster to board members and the Alumni Affairs office; Informs the Alumni Affairs office of plans and activities by forwarding copies of all mailings and special reports; Advises the Alumni Affairs office of address changes of local alumni if received; Uses Box and Zoom for meetings, minutes, and notes; Encourages alumni to update their personal information on the online alumni directory; Maintains complete and up-to-date copies of the club’s bylaws and other organizational documents

The club Secretary should actively participate in succession planning and board opportunity discussions within their community. Meeting alumni and speaking with them about opportunities to engage the local Cornell community are vital to the growth of the club.
